Rosters and Desk Payments
See who signed up, add players at the desk, collect cash, comp an entry, and remove someone safely.
A roster is the list of who has signed up. It’s where you add people at the desk, take their money, and remove them if plans change.
Open Play and league nights
Events → Open Play → tap the event → Players tab. On paid events each player shows a payment badge next to their registration status. The badges are Paid, Paid (desk), Collect $X, Comp, Refunded, Payment pending, and Payment failed. Free events show the status only.
Once the night starts, the same tab becomes live Standings.
Add someone at the desk — tap Add Player. Search any Clubhouse account by name or email, or use New Guest and just type a name. On a paid event pick Owed (they still owe you the fee) or Comp (free entry, on the house).
Collect the cash — tap the player’s row to open Payment Override. Choose Cash, Card, Venmo, or Other, then Mark Collected (Desk).
Important: On the iPhone, Mark as Refunded only records the refund. On the web, refunding a card payment moves the money — the full charge, service fee included, goes back to their card. Desk-collected cash is still hand-back-and-mark. Cancelling a whole event is different: card payments come back to players automatically as club credit at your club.
Remove someone — tap the ✕ on their row. The app tells you whether they’ve paid or still owe before you confirm, so you can settle up at the desk if you need to.
Clinics and tournaments
Clinics: Events → Clinics → the clinic → Sessions → tap a session for the Session Roster, with paid and pending badges. Players enroll and unenroll themselves.
Tournaments: pick a draw in the Draws strip, then open the Manage tab to see that draw’s registrations. Add Player — or Add Team on doubles draws — works while the tournament is in draft or registration.
Who’s here tonight? The Players tab is your door list. Open it and greet people off it.
Adding someone at the desk
Use Add Player or Add Team on the event. Always enter the email they would sign up with — that is what links the record to their account. Without it you create a separate guest record that will not merge later.
Taking someone off
Remove on their roster row takes them off that event. There is no way to move a player from one session to another — remove them from the first and add them to the second, and check the money on both.
