Exporting Your Data from Playtomic
Customers, wallet balances, bookings, and payments — and why starting early preserves more of your history.
Playtomic holds less history than the other platforms, and some of it disappears on a rolling basis, so the sooner you start the more your members keep. Everything below you can do yourself in Playtomic Manager. Each export asks you to accept a conditions box first — that’s normal.
Start with bookings, today
Playtomic’s booking data only reaches about 90 days back. There’s no way to recover what falls off the end, so we like to start pulling bookings as soon as you’re seriously considering a move, and then again at cutover.
What to export
Customer list — Customers → the arrow beside New Customer → Export List of Customers in CSV. Do this on the day we cut over: it carries every player’s wallet balance, which is the number that has to be right.
Bookings — Bookings → set the widest date range you can → the three-dot menu → Export Booking. Take CSV, and JSONL as well if it’s offered. Run it again for future-dated bookings.
Payments — Payments → Processed → widest date range, all statuses → the three-dot menu → download the CSV of all transactions.
Payouts and invoices — Payments → Payouts for the summary PDFs, and the Billing tab for self-invoices. Which one you have depends on your billing model — tell us which you’re on and we’ll take it from there.
Tournaments and leagues — open each one → the three-dot menu → Export Players. It’s one file per event, unfortunately.
Store — if you use the point-of-sale, Store → Export history.
If your plan includes API access
On Playtomic’s higher tiers you can generate credentials under Settings → Developer Tools. It’s the only way to get phone numbers, birthdates, and gender for your players, and it lets us capture bookings on a rolling basis instead of one snapshot. Send us the credentials securely and we’ll handle the rest.
What doesn’t come with you
Playtomic player levels and saved cards belong to Playtomic’s marketplace rather than to your club, so neither can be exported by anyone. Your players rate in fresh on Clubhouse’s own system, and cards get entered once. What is yours — your customers, their wallet balances, your bookings and your revenue history — all comes across, and wallet balances become Clubhouse credit.
One thing to watch when you announce the move
The customer export flags who has agreed to marketing contact and who hasn’t. We’ll respect that list, so it’s usually best to announce the switch through your own channels — signage, the front desk, your existing newsletter — rather than emailing everyone in the file.
Screenshots we also need
Pricing and timed prices, your Benefits (membership) definitions, courts, schedule settings, admin roles, and your agreement or waiver text. None of those export.
