Exporting Your Data from CourtReserve

Almost everything in CourtReserve exports to Excel straight from your admin panel. Two settings matter more than anything else on this page, so start with those.

Two settings to get right

• Check All. Most reports have a “Setup Report Output” panel where you choose columns. Tick everything — CourtReserve leaves plenty of useful fields off by default, and a missing column means missing data.

• Export Grid, not Export as List. Where both are offered, Export Grid includes every column, including hidden ones. Export as List is a trimmed-down version.

Reports to export

• Members — your full member list. Scroll to the bottom of the output setup — custom fields and ratings live down there.

• Membership — who is on which plan, how often they’re billed, and their status.

• Reservations — your booking history. Run it twice: once for everything, once with the recurring-reservations-only filter so we can see standing games.

• Transaction List — your payment history. Turn on Show Punch Value first so punch passes come across with their dollar value.

• Aged Fees — anything members currently owe, grouped by how overdue it is.

• Payment Summary and Sales Summary — for reconciling the totals.

• Event Registrant Detail and League Registrant Detail — who signed up for what, with payment and check-in status.

• Packages — remaining punches — these become Clubhouse credit.

• Waivers — who has signed and when.

Timing matters here

CourtReserve deletes account data 30 days after you cancel, and saved payment profiles go at cancellation. Do all of your exports while your account is still active, and don’t cancel until we confirm your migration has landed. If you take payments through them, start that conversation before you cancel too.

Screenshots we also need

Your settings don’t export: organization details and hours, court setup, reservation types and pricing, membership plan definitions, and any tax or fee rules. Screenshots of those pages are enough.

A note on families

CourtReserve groups households into family accounts. Clubhouse tracks people individually, with junior players linked to a guardian’s email, so we’ll flatten family billing into individual records and show you how it looks before anything goes live.
